Business Development & Proposal Coordinator

THE ROLE

The role of Business Development & Proposal Coordinator includes duties related to both formal and informal proposal creation, social media management, website management and other BD initiatives. The Business Development Coordinator will report directly to the Operations Manager.

PROPOSAL PREPARATION
  • Prepare proposals of all type and scale – ranging from 1-page fee letters for private clients to 50-page formal RFP responses for public projects.
  • Review and identify relevant RFP opportunities through various platforms such as MERX, APC, BCBid, SaskTenders, Ariba and other.
  • Prepare workflow assessment for relevant opportunities for RFP team review.
  • Lead weekly RFP meetings to discuss new and current RFP pursuits.
  • Manage the entire proposal submission, track key team members and their designated responsibilities, compile all necessary content into 1 finalized document, submit completed proposal on time and with all necessary requirements.
  • Track all proposal submissions and monitor for award.
  • Maintain accurate file and record management systems.
BUSINESS DEVELOPMENT
  • Seeks various architectural awards and prepares and submits applications.
  • Assist with planning internal and external events and philanthropic initiatives.
  • Research and complete applications on behalf of the firm or clients for funding/grant opportunities.
  • Work closely with FAAS leadership to ensure alignment between business development efforts and the firm’s strategy.
  • Seek out and attend networking events with other FAAS team members as required
  • Develop and manage client lists and other record management
  • Coordinate marketing initiatives such as mailouts and client gifts
SOCIAL MEDIA AND WEB MANAGEMENT
  • Manage the creation and curation of strategic and compelling content for marketing on various social media platforms such as, but not limited to, Instagram, LinkedIn and other.
  • Independently coordinate marketing campaigns and launch via social and web.
  • Create and maintain digital marketing calendars and recommend fresh content ideas.
  • Full social media management including posting, engaging with followers, and developing engagement strategies based on analytics.
  • Regularly update all aspects of website, including but not limited to, project pages, staff pages, hero images, and career opportunities.
  • Manage and monitor our Google analytics and SEO.

WHAT’S REQUIRED

The ideal candidate will have the following qualifications:

  • 1-3 years’ experience in a proposal writing role or similar.
  • Post-secondary education in areas of either copywriting, marketing, information design, or business development.
  • General familiarity with various procurement sites such as MERX, Ariba, BCBids etc.
  • Proficiency in Microsoft Office Tools including Sharepoint.
  • Experience working in Adobe Creative Suite programs is considered an asset.
  • Working knowledge of social media platforms such as Instagram & LinkedIn.
  • General understanding of Squarespace and/or WordPress.
